The client is a supermarket chain in the Netherlands and Belgium.

It is part of a privately owned group and has a legacy of close to 100 years with hundreds of supermarkets across the country. It has multiple offices and distribution centres in the region and is one of the top 3 supermarket chains in the Netherlands.

With over 200 supermarkets, the client had to handle close to 15,000 invoices being generated every month, with the majority of them being multi-line. Also, additionally, there was the challenge of 8 different operators working on multiple locations.

 

Major challenges included:

  • 202 Supermarkets
  • 15,000 invoices generated per month out of which 30% are simple, 60% are ML1 and 10% are ML2
  • 8 different operators, working in 2 different locations.
  • Besides general ledger, costs codes were also needed to be added on line-level
  • Inconsistency in processing affects, manual reporting and processing of huge data
  • These were high volume-low margin businesses and errors were deadly for the business

Approach

SmartBooqing partnered with the client to revamp the system and introduce efficiencies through the use of RPA.
